How do I search for a bibliographic record in the MDE (Metadata Editor) ?

Can I batch load vendor records into the Network Zone?

Yes, but if the records don’t have OCLC numbers, they might be deleted by the Network Zone manager after a certain amount of time.

Can I create a new record or derive a record in Network Zone?

No. New bibliographic records should be created or derived in OCLC Connexion or Worldshare Record Manager and then exported to Alma.

Can I import bibliographic records from the Library of Congress to NZ?

No, all bibliographic records in the NZ must have an OCLC number, or they will eventually be deleted by the NZ Administrator.

Do I need to update/delete holdings manually in OCLC?

  • If you already have your “Publishing to OCLC Job” configured in Alma, and you have only one library in your institution, the Alma system will do both for you.
  • If you already have your “Publishing to OCLC Job” configured in Alma but you have more than one library in your institution (meaning your institution has multiple OCLC member symbols), you have to delete your holdings manually in OCLC via each respective symbol login. The Alma system will update new holdings for you.
  • If you have not configured your “Publishing to OCLC Job,” you need to both delete/update all holdings manually in OCLC.

How do I add a local note or local subject heading to a MARC record in Alma?

You need to add a local extension (local notes are referred to as "local extensions" in the MD Editor). When you have the MARC record open in the MD Editor, click Editing Actions > Add Local Extension. The house icon next to the MARC field identifies it as a local field. How do I know if I can edit records in OCLC Connexion?

Your cataloging permissions in Connexion may be “FULL,” “Limited,” or “Search.” “FULL” and “Limited” allow you to edit some OCLC master records while “Search” doesn’t allow that. You can see what your cataloging level is when logging into Connexion:

How do I report an error or make an editing suggestion when I am unable to edit a PCC record?

If you are unable to make a certain edit in a PCC record, you may request the change(s) any of the following ways:

  • Send an email to bibchange@oclc.org. Be sure to include the OCLC record number and a detailed description of the error(s).

  • Use this online form: WorldCat Bibliographic and Authority Record Change Request.

  • In OCLC Connexion, click Action > Report Error and complete the form with details about the requested change. In Record Manager, select Send Record Change Request under the Record button.

How do I report an error or make a suggestion to improve a WorldCat authority record?

My library only has access to CatExpress. How can I make changes to a Network Zone record if I found a mistake in it?

You can report to the Cataloging Work Group and someone will make the change for you in OCLC.

What do I do if I cannot export a record to the NZ because there are duplicate records?

Write a support ticket for the NZ Administrator to merge the duplicate records by submitting a new support ticket here. Be sure to include the OCLC numbers for the duplicate records.

Which type of records can I keep in the Institutional Zone?

  • Records for resources which the local institution does not own 
    • Instructor copies of course reserve materials
    • Titles borrowed on ILL from outside the CCC consortium
  • Vendor records (metadata) which a local institution is legally or contractually prohibited from sharing
  • Records that do not represent bibliographic resources such as records used to facilitate inventory control and the circulation of equipment
  • Records used to manage room reservations
  • Records for items like calculators, whiteboard markers, laptops, etc., which are not meant to be shared among institutions
  • Records which are not intended for public display
  • Temporary records created through Alma’s “Add physical item” feature
    • Records created “on-the-fly” by Circulation to check out material that is marked and in the stacks, but does not have a locatable bibliographic record
    • Records created solely for financial or accounting purposes
